eHealth Saskatchewan – Teamtailor Privacy Policy

Teamtailor is the recruitment platform used by eHealth Saskatchewan (eHealth) to facilitate the recruitment lifecycle, including job postings, candidate applications, recruitment communications, interview scheduling, reference checks, and employment offers.
At eHealth, we respect that your career search is personal. As such, we take rigorous steps to ensure that your personal information remains protected and kept in strict confidence. Information in Teamtailor is defined as personal information (Information) under subsection 2(1)(g) of The Freedom of Information and Protection of Privacy Act (Saskatchewan) (FOIP). eHealth will collect, use and disclose Information in accordance with this privacy policy and FOIP.
Collection, Use and Disclosure
Most of the information we collected about you, we receive directly from you, for example when you apply for a position with us or connect with us. Some information may be collected from other sources, such as employees or partners who refer you to us, or by the people you have listed as your reference.
The type of Information collected and used by eHealth includes:
Basic identifying and contact information (e.g., name, email address, phone number, address)
Employment-related information (e.g., resume/Curriculum Vitae, employment history, education, skills, qualifications)
Application responses (e.g., eligibility to work in Canada, role-specific requirements)
Recruitment process information (e.g., interview scheduling data, reference check information, offer details)
Optional demographic information (e.g., Diversity, Equity, and Inclusion (DEI) data for reporting purposes)
Technical and usage information (e.g., browser, device, and interaction data collected through the platform)
Communication data (e.g., messages between candidates and recruitment staff within the system)
The Information collected as described above is only used or disclosed for:
Customer surveys and other customer research are done to better understand the customer impact and user feeling of the employee recruitment process, and to help improve the customer experience. Please note: These surveys are entirely voluntary and you may decline to participate at any time.
eHealth does not use or disclose your Information to any person or organization or for any other purposes unless it has your consent or is otherwise authorized by law.
Consent
By clicking the acceptance button, you are providing your consent to the collection, use and disclosure of your personal information through Teamtailor. Should you change your mind and no longer wish for eHealth to use or disclose your Information please contact Recruitment@ehealthSask.ca or use the ‘Delete my Record’ feature.
eHealth may store or use some or all the cookies or similar technologies in your browser, app, or device for the purposes described in the Cookie Policy. You can change or withdraw your consent at any time, by clicking the link “Manage Cookies”, that is available at the bottom of the site.
Accountability
eHealth is accountable. Specifically, eHealth's Chief Privacy Officer is responsible for overseeing eHealth's privacy compliance program and to receive and address privacy related complaints and concerns associated with Teamtailor. eHealth’s Relationship with Teamtailor
To manage our recruitment process efficiently we use a cloud-based applicant tracking software system provided by Teamtailor. eHealth remains the owner and controller of your Information. Teamtailor will only use Information to the extent required by them to perform the services. Any use of the information by Teamtailor for other purposes is strictly prohibited.
Should Teamtailor ever expand or reduce its business, including the sale and/or the transfer of control of all or part of Teamtailor, the new owner or newly controlling party will under the terms of this Privacy Policy, be permitted to use the Information for the purposes for which it was originally supplied.
Safeguards
Privacy safeguards outlined in FOIP apply to the Information in TeamTailor. Information in TeamTailor is kept in strict confidence and is used or disclosed only as authorized or required by law.
In addition, eHealth has strict security safeguards in place, including policies, practices, and computer systems that are designed to protect information from unauthorized use, error, or loss. Correcting your Information
If you notice an error in your personal information in Teamtailor or would like to request an update or amendment to your eHealth recruitment record please contact Human Resources at Recruitment@ehealthSask.ca.
Information Storage
Personal information in Teamtailor will be stored and processed on servers located in the European Union. While keeping data in Canada is always our first choice whenever possible, the European Union has some of the strictest privacy frameworks in the world under the General Data Protection Regulation (GDPR).
Retention
Your personal information stored in Teamtailor will be retained for XX. At the end of the retention period, your Information will be subject to secure disposal or de-identification. Once deleted, personal information is permanently removed from Teamtailor and cannot be restored.
Updates to this Privacy policy
We may update this Privacy Policy as necessary to reflect changes in our practice or regulatory requirements. We encourage you to review this policy periodically to stay informed about how we protect your information.
