About the role
The Contract Lifecycle Management (CLM) Implementation Coordinator will support the successful implementation of eHealth Saskatchewan’s CLM solution in ServiceNow by reviewing, creating and validating approximately 6,000 contract records. The role will also help organize and migrate contract documentation to a new SharePoint records management environment. Through accurate data entry, quality assurance and progress tracking, this position will build a reliable foundation for system adoption, reporting and ongoing contract management.
What you’ll do
Reporting to the Manager, Contracts, you will:
• Review contract files and supporting documentation to identify contract types, amendments, renewals, parent-child relationships, missing information and follow-up requirements.
• Create and maintain complete, consistently structured contract records in the ServiceNow CLM solution.
• Enter and validate contract metadata, including vendor information, contract values, key dates, renewal options and contract ownership.
• Upload, classify and organize contract documentation in ServiceNow and SharePoint in accordance with established standards.
• Conduct quality assurance reviews to confirm records are accurate, complete and ready for migration.
• Support contract file organization and records management activities to improve accessibility and information integrity.
• Work with the Contracts Team to prioritize records, track migration progress and report completed work, outstanding issues and risks.
What you’ll bring to the team
• A certificate or diploma in business administration, legal administration, records and information management, office education, project administration or a related field. An equivalent combination of education and experience may be considered.
• Experience in high-volume data entry, records management, document control or administrative support.
• Strong attention to detail and the ability to organize, validate and maintain large volumes of information accurately.
• Proficiency with Microsoft 365 applications, particularly SharePoint, Word, Excel, Outlook and Teams.
• Ability to learn and use ServiceNow CLM or a comparable contract or document management system.
• Experience working with contracts, metadata or electronic document management systems would be considered an asset.
Competencies
Technical: Knowledge of office filing procedures and systems, records management practices, and applicable computer software, including word processing, spreadsheets, databases and electronic document management systems.
Electronic Records Management: Ability to accurately input, update, edit, retrieve, maintain, format and transmit information using electronic systems, and to establish and maintain filing systems that preserve accessible and up-to-date records.
Organizational: Ability to independently assess, establish and adjust priorities and accurately complete multiple tasks within project deadlines.
Analytical and Problem Solving: Ability to collect, record, evaluate and organize relevant information to identify discrepancies, clarify issues and determine appropriate follow-up.
Communication: Ability to provide clear, concise, accurate and timely information in writing and verbally, and to ask relevant questions to obtain required information.
Teamwork and Independence: Ability to work independently and as a contributing team member to complete assignments, achieve common goals and contribute to a positive work environment.
